The vehicles belong to the company, not to the employee.

Kocheras does not insure vehicles and has no GPS.

We're saying it before you have to ask in the meeting. We don't cover damage, we don't mediate in a claim and there is no telemetry or location: we install nothing in the vehicle.

What we do is hand out turns between people and record who had each vehicle, when and in what condition they returned it. The insurance is still the company's.

Small fleet management

Your fleet lives in a spreadsheet and the keys live in a drawer.

It works until two people need the same vehicle on the same Tuesday, or until whoever kept the spreadsheet leaves.

Nobody knows who has it

It gets sorted by phone, and whoever calls three times ends up with the key.

When mileage has to be justified, somebody reconstructs the month from memory.

Fuel arrives as one bill and splitting it by department is an afternoon's work.

The underlying difference

The vehicle belongs to the account, not to a person.

It's the decision that separates Kocheras Business from a household app: if the vehicle hangs off an employee, the day they leave, the fleet goes with them.

The account belongs to the company

With its Spanish tax number (NIF) and legal name. Vehicles hang off that, not off whoever added them.

Three roles

Owner: closes the account and changes the plan. Manager: vehicles, people, rules and reports, and there can be several. Driver: books and returns.

The manager approves without owning

The fleet manager authorises each driver without the vehicle being theirs. If they change job, you appoint another one and that's that.

Everyone sees their own

A driver doesn't see their colleagues' mileage reports or anyone else's email. Management screens are locked by role.

Everyone books their turn

If the slot is taken, the app stops them. The phone calls asking whether it's free stop.

You don't have to migrate the whole fleet on day one. Start with the two vehicles that cause the most trouble and add the rest once people are actually using it. When someone leaves the company you remove their access, their future turns are cancelled and the record of what they did is kept.

The record

Mileage per person, without anyone writing it down.

Mileage is worked out by subtracting readings between turns, so it always adds up. That's where the per-person report and the cost per centre come from.

Who used each vehicle

Person, day and start and end times of every turn. If a penalty arrives, you know which driver that slot belongs to.

All prices exclude VAT: whichever tax applies is added at checkout, based on where the company is registered. Fleet software with GPS and telemetry costs considerably more because it involves hardware in the vehicle; Kocheras isn't that and doesn't charge for it.

How billing works

By card at kocheras.app, with a VAT invoice in the company's name. Upgrading charges the pro-rata difference.

If you stop paying

No vehicle is deleted and nobody loses access. The only thing lost is the ability to add new vehicles.

What isn't charged for

Employees, bookings, photos, history and setup. There is no onboarding fee.

What comes with the business plan.

Turns, permissions, history, photos and expenses work today. Multiple managers, the mileage report, cost centres and employee on/offboarding are not there yet.

That's why the trial is 30 days and we don't ask for a card. And that's why the commitment is this: until those four parts are in, we don't charge. Come in, add a couple of vehicles and check it with your own people.

Data and contract

What your accountant will ask for, already sorted.

Where the data is

On servers in the European Union. We don't store any driver's ID or licence number, only whether they are verified.

Who is responsible

For your employees' data, the company is. We are the data processor and we send you the signed agreement the same day you ask for it.

Tell your staff

Recording who drove and how many kilometres they did is processing your workers' data. You must inform them and, where there is employee representation, you must notify them. We give you the wording, but the obligation is the company's.

Who sees what

A driver sees their own turns and their own mileage. Everyone else's reports are only visible to the manager.

What happens when an employee leaves?

You remove their access and they can't book from that moment. Their future turns are cancelled and whoever needs those slots is notified.

The vehicles don't move, because they belong to the company's account and not to that person. The record of what they did is kept.

Do you issue VAT invoices?

Yes, in the company's name and with the tax details you give us. The prices on this page exclude taxes: whichever applies is added at checkout, based on where your company is registered. Give us a valid EU VAT number and the invoice comes out with the reverse charge.

Payment is by card at kocheras.app, self-service. No chasing transfers and nothing issued by hand.

Is there lock-in or a minimum number of vehicles?

Neither. You pay per active vehicle and can scale down whenever you like; the plan runs to the end of the period you've paid for.

There is no setup or implementation fee either.

How do I justify each person's mileage?

Mileage is worked out by subtracting one turn's reading from the next, so it doesn't depend on anyone writing it down correctly. That's where the per-person, per-period report comes from.

It's a usage record, not a certificate. It backs up what you declare; it doesn't replace your accountant.

What if someone takes a vehicle without booking?

Kocheras isn't a lock: if the keys are in the cupboard, anyone can take them. What it does is put the turn on the record and make the unbooked gap visible in the history.

It works like a job sheet: if nobody booked and the vehicle moved, you notice straight away because the next return's mileage doesn't match the previous one.

Can it export or integrate with what we already use?

Reports download as CSV, which opens in Excel and any accountant will accept, and as PDF to attach. That covers mileage and cost-centre allocation.

There is no automatic connection to payroll or accounting software, and we won't promise one. If you need a specific integration, say so before starting the trial and we'll tell you whether it's possible.

Who can see whose data?

A driver sees their own turns and their own mileage. The management screens (employees, reports and allocated cost) are locked and only open for someone with the manager role.

There can be several managers, so the fleet doesn't depend on one person.

Where is the data and do you sign a processor agreement?

The data is on servers in the European Union. For your employees' data the company is the controller, and we act as the processor.

We send you the signed agreement the same day you ask for it, with the list of sub-processors and each one's country, so your accountant can review it before you upload a single record.

Does this replace fleet software with GPS?

No, and it's worth saying so. There is no vehicle location, no telemetry and no hardware to install: Kocheras doesn't know where it is.

What it does is hand out turns between people and record who had it and how they returned it. If what you need is tracking vehicles on a map, you need a different tool.

What support do we get?

You write to hello@kocheras.app and a person replies, during office hours, in Spanish, Catalan or English. We're a small team: there is no 24-hour phone line and we won't pretend there is.

Your staff need no training: whoever drives only books and returns. With whoever runs the fleet we sit down during the trial and leave the vehicles, roles and cost centres set up.
